AI-Smart Agency provides AI-powered communication infrastructure — including AI voice agents, AI SMS, AI email, and CRM/automation tools — to businesses ("Clients"). We process information both for visitors to our website and for the communications our Clients run through our platform.

2. Information we collect

  • Information you provide: name, business name, email, phone number, and details you submit through forms, bookings, or chat.
  • Communications content: the content of calls, texts, emails, and chats sent or received through our services, including voice recordings and AI-generated transcripts.
  • Usage & billing data: call minutes, message counts, email volume, AI usage, and related metering used to bill our services.
  • Device & site data: IP address, browser type, pages viewed, and similar analytics collected via cookies and similar technologies.
  • CRM data: contact and lead records that our Clients store and manage within the platform.

3. AI-powered calls, texts & emails

Our services use artificial intelligence to place and receive phone calls and to send and receive text messages and emails. This means:

  • An automated/AI system may handle a call or message instead of a live person, and may generate responses in real time.
  • Calls may be recorded and transcribed, and message content may be processed, in order to operate, respond to, and improve the service.
  • AI-generated output may occasionally be inaccurate or incomplete; it is not professional, legal, financial, or medical advice.

4. How we use information

  • To provide, operate, and maintain the communication services (calls, texts, email, AI agents, CRM, automations).
  • To respond to inquiries, schedule appointments, and deliver follow-up on behalf of our Clients.
  • To meter usage and bill for services.
  • To secure, troubleshoot, and improve our services.
  • To comply with legal obligations and enforce our terms.

5. Call recording & monitoring

Calls placed or received through our services may be monitored, recorded, and transcribed for quality, training, record-keeping, and service operation. Some jurisdictions require the consent of one or all parties to record a call. Where required, notice and/or consent will be provided at the start of the call. Clients are responsible for ensuring recording is permitted for their contacts and jurisdictions.

6. Text messaging & consent

By providing a mobile number to us or to a Client using our services, you may receive calls and text messages, including automated and AI-assisted messages. Message and data rates may apply, and message frequency varies. Reply STOP to opt out of texts at any time, or HELP for help. Opting out of marketing messages may not stop transactional messages tied to an active service.

7. How we share information

We do not sell your personal information. We share information with service providers who help us operate, including:

  • Telephony & messaging carriers (e.g., Twilio) to deliver calls and texts.
  • AI/model providers to generate responses and transcriptions.
  • Platform provider (HighLevel / LeadConnector) that hosts the CRM and automation tools.
  • Payment processors to handle billing.

We may also disclose information to comply with law, enforce our agreements, or protect rights, safety, and security. Phone numbers and SMS consent are not shared with third parties for their own marketing.

8. Data retention

We retain information for as long as needed to provide the services, meet legal, tax, and record-keeping obligations, resolve disputes, and enforce our agreements. Retention periods for call recordings and message logs may be set by us or by the Client operating the communication.

9. Your choices & rights

Depending on your location, you may have rights to access, correct, or delete your information, or to opt out of certain processing. You can opt out of texts by replying STOP and of emails via the unsubscribe link. To make a request, contact us below. If your information is managed by a Client (for example, you are a lead in their CRM), we may direct your request to that Client.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children's privacy

Our services are intended for businesses and are not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date reflects the most recent changes. Continued use of the services after changes become effective constitutes acceptance.
